This policy explains what information [Company legal name] ("BLACKVAIR", "we", "us") collects when you use the BLACKVAIR website and app, how we use it, and the choices you have. Questions go to [contact email].
1. Information we collect
Account information
Your name, email address and sign-in details, and the people you invite to your portfolio.
Portfolio information you add
- Properties, purchase prices, loans, values and financial records.
- Tenant details you choose to enter, such as names, phone numbers, rent amounts and lease dates.
- Maintenance requests, visit times, access notes and notes about jobs.
- Technicians and vendors you save, such as names, companies, phone numbers, emails and your ratings.
- Documents and files you upload.
- Property research you do, such as searches, saved searches, your watchlist and your investment numbers.
Technical information
Basic information needed to run and secure the Service, such as your browser type, device, IP address and error logs. Some settings, such as light or dark mode, are kept in your own browser.
2. How we use information
- To run the Service for you: show your records, calculate figures and keep your data in sync.
- To answer property research and Vaira questions.
- To keep the Service secure and fix problems.
- To contact you about your account and important changes.
We do not sell your personal information or your tenants' information, and we do not use it for advertising.
3. Service providers we share information with
We share information only with companies that help us run the Service, and only what each one needs.
- Supabase stores your account and portfolio data and uploaded files, and handles sign-in.
- Vercel hosts the BLACKVAIR website.
- RentCast receives the locations and addresses you search so it can return listings and value and rent estimates.
- Google receives the location of listings you view so it can return Street View photos. Google's use of that information is covered by the Google Privacy Policy.
- Twilio sends and receives auto-dispatch text messages. It receives the phone numbers of technicians, tenants and owners who agreed to texts, and the text of those messages.
- Yelp receives the trade and location you search when you look for technicians. Yelp results are shown to you and not stored, unless you save a business as one of your technicians.
- Anthropic receives your Vaira questions and the portfolio details needed to answer them, and returns the AI response.
Each property can have a private repair request link. Tenants who use it send their request, how urgent it is, the times they are home and, if they choose, a phone number. That goes straight into the property owner's account. The link also shows the tenant the status of their recent requests for that property.
Text messages. When an owner books a repair with auto-dispatch, BLACKVAIR texts the job offer, one at a time, to technicians who agreed to receive job texts, and saves each reply (accept, pass, or message) to the owner's account. When a technician accepts, they get the property address and the tenant's first name, the tenant gets the visit time if they asked for texts, and the owner gets a confirmation. We record when and how each person agreed to texts. Mobile numbers and text consent are never sold, and are not shared with third parties or affiliates for marketing. Reply STOP to any message to stop texts.
When you book a repair, the technician you choose gets a private link. It shows the repair details, the property address and the times you offered, and lets them confirm a time or suggest another. Their answer is saved to your account.
When you use contact buttons such as Call, Text, Email or Add to Google Calendar, your own phone, email or calendar app opens. What you send from there is handled by that app, not by BLACKVAIR. Links to other websites, such as Zillow or Yelp, open those sites, and their privacy policies apply.
We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy will continue to apply.
4. Information about tenants and other people
If you add information about tenants, technicians or anyone else, you are responsible for having the right to collect it and for using it lawfully. Only enter what you need to manage your properties. Do not upload highly sensitive information such as Social Security numbers or bank account numbers unless you need to.
5. How long we keep information
We keep your information while your account is active. If you delete records or close your account, we delete the related data from our active systems within [30] days, except where the law requires us to keep it. Backups are overwritten on a regular schedule.
6. Security
Data is sent over encrypted connections and stored with access controls, so only members of your portfolio can see it. API keys for our providers are kept on our servers, never in the website. No system is perfectly secure, so use a strong, unique password.
7. Your choices
- See and export your data any time from Settings with Download backup.
- Correct or delete records in the app, or email us to delete your account.
- Opt out of non-essential emails using the link in those emails.
Depending on where you live, you may have more rights, such as asking for a copy of your data or asking us to delete it. Email [contact email] and we will respond within the time the law requires.
8. Children
BLACKVAIR is for adults managing property. It is not meant for anyone under 18, and we do not knowingly collect information from children.
9. Changes to this policy
If we make significant changes, we will let you know in the app or by email before they take effect.
